The File Manager
The File Manager is a catalogue of every file that you have created and/or uploaded.
From the File Manager, you will be able to see all of these files in a detailed table that will show you, from left to right:
- Name
- The filename of the item in the File Manager
- Type
- The type of the file (for example, a page, image or folder)
- Tags
- Tags are keywords that you associate with a file. They hint at or describe the content of the file and/or represent your opinion of it. Adding tags will make it easier for you to search and categorise your files. The tags also enable other people to find your web pages via the 350communities portals (coming soon), as well as to discover people who have the same likes and opinions as you.
- Size
- The size of the file, given in either bytes, kilobytes (KB) or megabytes (MB)
- Changed
- Shows how long ago you made an edit or uploaded this file
This table will also show you if the file is published, as well as give you a quick button to edit the file in the object's editor.
- Pub
- Shows if a file is published or unpublished. If it is published, the box will show a tick. You can click in these boxes to publish and unpublish files as you see fit.
- Edit WIP
- Stands for Work In Progress. Will indicate any pages that you have edited, but not published to the web from your last editing session.
You can also arrange some of these columns by group or type by clicking the button next to the column heading. The buttons are explained in detail below:
Group/ Ungroup- Grouping items will arrange them by a certain criteria in a series of sectioned lists. The following list demonstrates which Group button arranges each setting:
- Name - Groups all objects in sectioned lists alphabetically
- Type - Groups all objects in sectioned lists by filetype e.g. pages, images
- Size - Groups all objects in sectioned lists by file size
- Changed - Groups all objects in sectioned lists by the last changed date
- Published - Groups all objects by published and unpublished objects
- WIP - Groups all objects for work in progress
- Clicking the Ungroup button will return the display back to the normal list.
Sort- Arranges the item lists in the same way as the Group button, except in a single list rather than separate lists
Reverse- Reverses the list order e.g. alphabetically would start at Z under this setting
There are a number of other options that allow you to make further changes to any of your files in the File Manager. These options run in a horizontal bar above the table of contents and are as follows:
- New Folder
- Creates a folder within your File Manager.
- Upload
- Enables you to upload a file to your File Manager.
The next options require that a file is selected from the table of files. A file can be selected by clicking on the tickbox of the file in the table.
- Edit
- Takes you to the appropriate editor to make changes to your selected file. You can also edit your file by clicking on the button in the Edit WIP column.
- Delete
- Deletes the selected file.
- Tags
- Allows you to edit the selected file's tags. You are also able to edit the tags by clicking on the tag names in the Tags column.
- Copy
- Copies the currently selected file.
- Rename
- Renames the currently selected file. Please keep in mind that if you rename a file that is already published, anything it is linked to will lose that link. For example if you rename a picture already on a webpage, this webpage will no longer display this picture and you will need to put it back on the page. This also includes folders.
- Move
- Moves the currently selected file. Please keep in mind that if you move a file that is already published, anything it is linked to will lose that link. For example, if you move a picture already on a webpage, this webpage will no longer display this picture and you will need to put it back on the page. This also includes folders.
- Publish
- Publishes the currently selected file to the web. You can also publish a file by checking the box of that file which is located in the Pub column. When a page is published, the file type in the type column will change to provide a link to the live webpage so that you can see it as your visitors will.
- Unpublish
- Unpublishes the currently selected file from the web. You can also unpublish a file by unchecking the box of that file located in the Pub column.
When you click on a folder, the display of the File Manager will switch to show the contents of that folder. You can navigate back to your main folder by simply clicking the Main link above the file list, or any folder in the tree by clicking on its name. You can also go up a level by clicking on the Up button; this is helpful if you have a folder within a folder and only wish to go back up once rather than back to your root.
